Zoho CRM for contractors

Zoho CRM Consultant for Contractors

Conduit Systems is a Zoho CRM consultant for contractors and trade businesses, led by a founder who has spent five years building and running the Zoho CRM inside a large Dallas-Fort Worth general contractor. We set Zoho up around how you bid, win and run jobs, then train your team to run it.

What we build

Zoho, set up for the way contractors work.

A fresh Zoho account shows modules and fields a contractor never touches. We strip it down to what your estimators, project managers and office actually use, then add the pieces that make it run itself.

  • Bids and jobs as their own records

Custom modules for bids and jobs, linked to the companies and contacts behind them, so a won bid becomes a job without anyone retyping it.

  • Blueprint for steps nobody can skip

Blueprint sets the stages a record moves through, who can move it and what has to be filled in first, like a signed contract before a job is scheduled.

  • Deluge for the math and the busywork

Custom functions in Deluge, Zoho’s scripting language: quote totals rolled up from line items, fields filled from related records, follow-ups created on a trigger.

  • Kiosk screens for the office

Kiosk walks a user through a guided screen, so bid intake and job setup ask the same questions in the same order every time.

  • Integrations through the API

Website forms, accounting, file storage and calendars connected to Zoho, so new leads and documents land on the right record on their own.

  • Reports that show where bids leak

Won and lost by trade, estimator and lead source, built on clean required fields so the numbers hold up when you act on them.

Why Conduit

Built by someone who ran Zoho inside a general contractor.

Plenty of consultants set up Zoho for any industry. Our founder, Colin Singleton, spent five years building and running the Zoho CRM at a large Dallas-Fort Worth general contractor: Blueprint processes, Kiosk screens, Deluge functions and API integrations, used every day by estimators, project managers and leadership.

So we already know the questions a contractor’s CRM has to answer. Which bids are due this week, and who owns them? What did we win, what did we lose, and why? Which jobs are still waiting on paperwork? We build Zoho so each answer is one click away, not a spreadsheet someone updates on Friday.

We’re based in Carrollton, Texas, and work with contractors in Dallas-Fort Worth and across the US.

Current build

A fence contractor’s quotes, built from their own price book.

We’re setting up Zoho CRM for a fence contractor right now. Two pieces show the approach:

  1. 01

    Price book in Zoho Products

Their materials price book is going into Zoho Products, so quotes are built from real line items at current prices instead of numbers retyped from a spreadsheet.

  2. 02

A project folder on every new deal

Zoho already connects to their Dropbox. We’re building the flow that creates the project folder the moment a new deal is made, so the office and the crew work from the same files.

Is Zoho the right fit?

Zoho fits most contractors with 5 to 50 people.

Zoho CRM Professional runs $23 a user per month billed annually and includes custom modules and Blueprint, which is most of what a contractor needs. HubSpot is easier to adopt when marketing feeds your pipeline, and Zoho’s own Bigin suits a small team that only needs one simple pipeline.

We compare the first two line by line, with yearly costs at 5, 15 and 30 users, in Zoho CRM vs HubSpot for contractors. If you already pay for another CRM, we can rebuild that one instead.

Questions

Before you hire a Zoho consultant

Not covered here? Bring the question to a 30-minute call and get a straight answer, with no pitch deck.

What does a Zoho CRM consultant actually do?
Sets Zoho up to match how your business sells and runs work, then keeps it that way. For a contractor that means modules for bids and jobs, Blueprint processes, Deluge functions, Kiosk screens, integrations with your website and accounting, reports, and training so your team actually uses it.
How long does a Zoho CRM setup take?
You get a written scope and price within 48 hours of the first call, and the first working piece in 1 to 2 weeks. Bigger builds with several integrations or a data migration take longer, and the scope says so up front.
How much does Zoho CRM setup cost?
It depends on scope: how many modules, processes and integrations, and whether data moves over from another system. After a 30-minute call you get a written scope and a fixed price before any work starts. Zoho bills its licenses separately. For the line items to expect, see CRM implementation cost for small teams.
Can you fix a Zoho CRM someone else set up?
Yes, and it’s a common place to start. We go through the modules, fields, workflows and Blueprints already there, keep what works, clear out what nobody uses, and fix the steps people have been working around. Your data stays where it is.
Do you work with contractors outside Dallas-Fort Worth?
Yes. We’re based in Carrollton, Texas, and most of the work happens over screen share, so we set up Zoho for contractors anywhere in the US.
Should a small team start with Bigin instead?
Sometimes. Bigin is Zoho’s simpler CRM for small teams that run one pipeline. Once bids and jobs need their own records or steps that can’t be skipped, Zoho CRM is the better home, and Bigin data can move up to it.
