HubSpot for contractors

HubSpot Consultant for Contractors

Conduit Systems is a HubSpot consultant for contractors and trade businesses, based in Dallas-Fort Worth and led by a founder who spent five years building the CRM inside a large DFW general contractor. We set HubSpot up around how you bid, win and hand off work, so your team uses it every day instead of working around it.

  • Free 30-minute call
  • Written scope and price in 36 to 48 hours
  • Based in Dallas-Fort Worth
What we set up

HubSpot, built around how you bid and build.

Most contractors use HubSpot as a contact list with a pipeline nobody trusts. Here is what we put in place instead.

  • A pipeline for bids

Bids get their own deal pipeline: invited, estimating, submitted, won or lost. Each stage asks for the fields a GC or owner actually needs, like bid due date, scope and trade.

  • Steps nobody can skip

Pipeline rules and required fields stop a bid from being marked won without the contract value and award date, and keep deals from jumping stages.

  • Handoffs that run themselves

A won bid creates the project, assigns the PM and starts the kickoff tasks. Follow-ups on open bids go out on schedule, not when someone remembers.

  • Jobs tracked on Projects

Won work moves to HubSpot’s Projects object, linked to the deal and the company, so the office sees every active job in one place.

  • Every lead with its source

Website forms, calls and referrals land in HubSpot with the source attached, so you can see which marketing turns into signed work.

  • QuickBooks and reporting

QuickBooks Online connected so contacts, products and invoices line up, plus won/lost and pipeline reports by estimator, trade and lead source.

Honest fit

Is HubSpot the right CRM for your shop?

HubSpot is a great fit for plenty of contractors and the wrong one for others. We set up Zoho CRM too, and we will tell you on the first call which one fits.

HubSpot fits when

  • Most leads come from your website, ads or email, and you want marketing and sales in one system.
  • Your team pushes back on new software and needs something they will actually open.
  • Owners or field leads only need to look at records. View-only seats are free on paid plans.
  • A second deal pipeline for bids plus Projects for jobs covers how you work.

Look harder when

  • You need several bids per project with sub quotes tied to each one. True custom objects need HubSpot Enterprise.
  • You need automation on a Starter budget. Workflows and pipeline rules start at Sales Hub Professional.
  • You run QuickBooks Desktop. HubSpot’s own integration works with QuickBooks Online only.

Yearly cost at 5, 15 and 30 users, side by side: Zoho CRM vs HubSpot CRM for contractors.

Already on HubSpot?

Fix the account your team stopped using.

Most HubSpot accounts we see were set up once and then left alone. We start with an audit of what is there, then fix it in place, so you keep your history and your team keeps the logins they know.

  1. 01Merge duplicate contacts and companies
  2. 02Rename stages to match how you really bid
  3. 03Archive properties nobody fills in
  4. 04Rebuild the dashboards around won/lost and backlog
  5. 05Retrain the team on the new setup

FAQ

Questions contractors ask about HubSpot

What does a HubSpot consultant do for a contractor?
We set up the account around how your company wins work: a bid pipeline, the fields estimators fill in, required steps between stages, automations that hand won work to a PM, and reports you can trust. We also clean up accounts that grew messy, then train your team so they keep using it.
Do I need HubSpot Professional, or is Starter enough?
Starter works for logging leads and moving deals by hand. Workflows and pipeline rules, the features that hand off won work and stop skipped steps, start at Sales Hub Professional, which also carries a one-time onboarding fee from HubSpot. We tell you on the first call which tier your process needs, so you do not pay for one you will not use.
Can HubSpot track bids and jobs separately?
Yes. Bids run in their own deal pipeline and jobs live on the Projects object, which every HubSpot plan includes. That covers most 5 to 50 person shops. If you need several bids per project with sub quotes tied to each one, true custom objects need HubSpot Enterprise, and Zoho CRM often fits that structure for less.
Does HubSpot work with QuickBooks?
HubSpot’s own QuickBooks Online integration works on every plan, and it syncs contacts, products and invoices. It does not support QuickBooks Desktop, so Desktop users need a third-party connector. We set up the one that fits and test the sync before handoff.
How long does a HubSpot setup take?
The first working piece is usually live in one to two weeks. You get a written scope and a fixed price within 48 hours of the intro call, then we build, train your team and stay on call after handoff.
Do you work with contractors outside Dallas-Fort Worth?
Yes. We are based in Carrollton, Texas, and set up HubSpot for contractors across the United States. The work happens over screen share, so distance does not slow it down.
